Payroll

The Payroll module converts processed workforce time, approved expenses, and controlled adjustments into payroll runs, finance postings, payments, and reports.

Payroll contains:

  • Time Process
  • Payroll Runs
  • Payroll Payments
  • Payroll Reports
  • Employee Rates

Tabs are permission controlled and may differ by role.

Prerequisites

Before creating a Payroll Run, confirm:

  • Employees are active and linked to the correct organization and Pay Group.
  • Work Periods are configured.
  • Shift and Overtime Rules are configured where required.
  • Employee regular, overtime, double-time, and other rates are maintained.
  • Time entries are approved and processed.
  • Eligible expenses are approved.
  • Finance accounts and periods required for payroll posting are available.

Time Process

Time Process is shared with Workforce. It applies configured rules to approved entries and produces processed regular, overtime, double-time, and other-time values.

See Time Process for the detailed workflow.

Employee Rates

Use Employee Rates to review and maintain pay rates used by payroll calculation. Rates can include regular time and applicable premium categories. Verify effective values before generating a run because payroll calculations depend on the employee-rate setup available for the selected period.

Payroll Runs

Create a Payroll Run for a Work Period and Pay Date. Supported run types include regular and adjustment runs.

A run can consolidate:

  • Processed time cost
  • Approved employee expenses
  • Payroll adjustments
  • Project, Phase, Task, Cost Code, WBS, and WBS Child allocations

Review employee totals and detailed source lines before submission.

Workflow

The normal lifecycle is:

open -> submitted -> approved -> posted

  • Open runs can be reviewed, adjusted, or deleted with permission.
  • Submitted runs follow the configured Payroll Run approval workflow.
  • Approved runs are ready for finance posting.
  • Posted runs expose finance-posting status and settlement tracking.

Payroll Payments

Payroll Payments shows payroll amount, paid amount, outstanding balance, payment count, tracking status, and finance-posting status.

Tracking statuses include:

  • Unpaid
  • Partial
  • Settled

Create a payment against an eligible payroll run, select the payment date and bank account, and enter the settlement amount. Payment history remains linked to the Payroll Run.

Payroll Reports

Payroll Reports support date-range and status filtering. Current outputs summarize runs and can break cost down by employee or Project, including hours, time cost, expenses, adjustments, total payroll cost, and paid amount.

  1. Finish Time Editor review and Time Process.
  2. Confirm Employee Rates.
  3. Create the Payroll Run for the correct Work Period.
  4. Review time, expenses, adjustments, and project allocations.
  5. Submit and approve the run.
  6. Post the approved run to Finance.
  7. Record Payroll Payments and monitor outstanding balances.
  8. Reconcile Payroll Reports with finance postings and bank settlement.

Troubleshooting

  • An employee is missing: verify Pay Group, Work Period, processed time, and employee status.
  • Hours or rates are zero: review Time Process and Employee Rates.
  • Approval is unavailable: confirm the Payroll Run workflow and approver assignment.
  • Finance posting fails: verify mapped accounts and an open Financial Period.
  • A payment cannot be created: confirm the run is eligible, has an outstanding balance, and the bank account is active.
